Setting up, running the month, and what is coming next.

Set up your studio in an evening

  1. Enter your classes

    Classes → New class. Set the days it meets, the capacity and the monthly tuition. Capacity is what turns extra sign-ups into a waitlist instead of an overfull room.

  2. Add families, or let them add themselves

    Add them from the Families page, or send the registration link and let parents create their own profile and enroll. Both end up in the same place.

  3. Turn on auto-pay

    Connect Stripe under Your plan, then invite families to the portal so they can add a card. Every family on auto-pay is one you never chase.

  4. Run tuition on the 1st

    Tuition → Run monthly tuition posts one invoice per family from their active enrollments, sibling discount included. Then charge every card on file in one click.

  5. Take attendance at the door

    Open the kiosk on a tablet and let students scan their badge, or tap names on the roster. Both write to the same sheet.

Questions we get

Does a family need one account per child?

No. One family account holds every student, and tuition bills to the family — which is what makes sibling discounts and a single monthly charge possible.

What happens when a class is full?

New sign-ups become waitlist entries. Drop somebody and the first person on the waitlist takes the seat automatically — you will see them move onto the roster.

Can instructors see family balances?

No. Instructors see their rosters, medical notes and attendance. Money and settings are limited to owners and admins.

Where does tuition money go?

Straight from the family's card into your own Stripe account, on Stripe's normal payout schedule. Prodigy Suite never holds your money and never sees a card number.

A card was declined. Now what?

The invoice stays open and the family shows up in Tuition → Unpaid. Ask them to update their card in the portal, then charge again — you do not have to re-post the invoice.

Can I take cash and checks?

Yes. Record a payment on the family or the invoice and pick the method. The balance updates the same way.

How do I get my data out?

Reports → Roster exports. Families, students, enrollments, payments and an emergency contact sheet all download as CSV. There is no export fee and no lock-in.

What if a student attends a make-up class?

Open Attendance, pick the class and the date. You can record a session on a day the class does not normally meet — the app will say so, then let you save it.
