Contractors cleared before they start
Know whether a contractor, and each of their workers, can work on your site today.
What it does
WSIB clearance on file
A current WSIB clearance certificate for each contractor, with its number and the date it runs out.
Insurance above your minimum
Their certificate of insurance, checked against the minimum you set.
Each worker’s certificates
The certificates each worker needs, like Working at Heights or WHMIS, before they’re marked ready.
Your site orientation
Your orientation for each worker at each site, repeated on the schedule you set.
A private upload link
The contractor uploads their own documents and adds their workers. Nothing counts until you approve it.
Reminders before expiry
We email the contractor 14 days before a document runs out, and it shows on your action list too.
- A WSIB clearance shows a contractor is registered and up to date with the WSIB. Holding a valid one means the WSIB won’t hold you liable for premiums the contractor owes for the work.
- Clearances are valid for up to 90 days. In construction they must be in place before work starts and for as long as it lasts; going ahead without one is an offence for both parties.
- Prodigy Suite keeps each contractor’s clearance, insurance and workers’ certificates current. Contractors are in Safety Essentials and Complete.
What the WSIB says about clearances
- What it is: a number from the WSIB that shows a business is registered and in good standing.
- Why you want one: with a valid clearance from your contractor, the WSIB won’t hold you liable for unpaid premiums and other amounts that contractor owes.
- How long it lasts: up to 90 days from the date of issue; most expire on the 20th of February, May, August and November. If the job runs longer, you need the next one.
- Construction: clearances must be in place before any construction work begins and for the duration of the work. If work goes ahead without one, both the contractor and the business that hired it commit an offence, with a maximum fine of $100,000. Home repairs hired by the resident are among the exemptions.
- Checking one: the WSIB’s online clearance service lets you look up and download a contractor’s clearance without logging in.
Common questions
How often do WSIB clearance certificates expire?
They’re valid for up to 90 days from the date they’re issued, and most expire on the 20th of February, May, August and November. The WSIB issues a new one automatically while the contractor stays in good standing; you need the one covering the dates of the work.
Do I need a clearance certificate if I’m not in construction?
Outside construction it isn’t required, but it protects you: the WSIB won’t hold you liable for premiums a contractor owes for the work while you hold a valid clearance from them.
Can contractors upload their documents themselves?
Yes. Each contractor gets a private link to upload their documents and add their workers. Nothing counts until you approve it.
