What it does
Incidents with the next steps
Reporting steps with deadlines: the Ministry of Labour, WSIB Form 7, and your committee or representative.
Inspections from checklists
Ready-made checklists for offices, kitchens, warehouses, construction sites and shops, or upload the one you use from Excel or CSV. Problems become tracked actions.
Safety data sheets
A register of safety data sheets that employees can open from their phone.
Committee or representative
Each workplace on its own: a representative from 6 workers or a joint committee from 20, with members, meetings and minutes on record.
Reports from the floor
Employees report a hazard or an incident from their phone.
Every site separately
Location managers see only their own sites. Incidents and inspections are reported by location.
- A workplace with 6 to 19 workers regularly employed needs a health and safety representative; 20 or more needs a joint health and safety committee, which inspects the workplace at least once a month and meets at least every three months.
- When someone is critically injured or killed at work, tell the Ministry of Labour immediately and report in writing within 48 hours. Report a work injury to the WSIB on Form 7 within 3 business days of learning about it.
- Prodigy Suite puts each step and deadline in front of you. Health and safety is in Safety Essentials and Complete.
When someone gets hurt: who to tell, and by when
| What happened | What Ontario requires |
|---|---|
| A death or critical injury | Call the Ministry’s Health and Safety Contact Centre immediately (1-877-202-0008, any time), and send a written report within 48 hours to the Ministry, your committee or representative, and the union if any. Don’t disturb the scene except to save a life, relieve suffering or prevent unnecessary damage, unless an inspector allows it. |
| An injury needing medical attention, or a worker unable to do their usual work | Written notice within 4 days to your committee or representative, and the union if any (OHSA s. 52(1)). |
| A work injury or illness reported to you that needs health care or causes lost time or wages | Report it to the WSIB on Form 7 within 3 business days of learning about it, and pay the worker for the day of the injury. |
| First aid only | Record it in your first aid record: what happened, when, any witnesses, and the treatment given. |

Common questions
How many employees before an Ontario workplace needs a joint health and safety committee?
20 or more workers regularly employed at the workplace. With 6 to 19, the workers choose a health and safety representative instead. Construction projects have their own thresholds.
How often must the workplace be inspected?
A member of the joint committee, or the health and safety representative, inspects the physical condition of the workplace at least once a month. If inspecting everything monthly isn’t practical, the whole workplace must be covered at least once a year, with part of it inspected each month.
Is Prodigy Suite a replacement for WSPS or IHSA?
No. WSPS, IHSA and Workplace Safety North give Ontario employers free guidance, templates and courses, and our library links many of them. Prodigy Suite keeps your own records: who was trained, what was inspected, what happened and what was reported.
