Your staff list, straight from payroll
Upload the employee export from the payroll system you already use. Prodigy Suite matches everyone to your list and shows who was hired, whose job or pay changed, and who left, before anything is saved.
Hired, changed, left
Each person in the file is shown as new, changed, left, back on payroll or unchanged, with every change spelled out (“Pay: $78,000 → $81,000 a year”) and a box to leave anyone out.
More than names
Start dates, last days and why someone left, province of work, job, department, full- or part-time, pay rate and frequency, and hours a week land on each person’s profile.
The work that follows
New people get your handbook and the training your rules assign. People who left become former employees and get an offboarding checklist: final pay, vacation pay, the Record of Employment, records kept 3 years.
Remembers your columns
Headings are matched by their wording, in English or French. Fix any match once and the next export from the same payroll system goes straight in.
Never erases, never guesses
Blank cells don’t wipe anything, names and sign-in emails are never changed, and a date like 03/04/2024 or a pay amount we can’t place is asked about or left out with a note.
Never reads what it doesn’t need
Columns that look like SINs, birth dates or bank details are never read, whatever they’re called. The file is read once and not kept.

If your payroll system can save its employee list as CSV or Excel, it works. Choose your system the first time, and we remember how its columns match.

How it works
- In Prodigy Suite, open Payroll import and choose your payroll system.
- Export the employee list from payroll. Include former employees if you can, so we can see who left.
- Drop the file in. Check the matched columns and the people under New, Changed and Left.
- Untick anything you don’t want, then apply. Next time, export again and you see only what changed.
Questions
Does Prodigy Suite run payroll?
No. You keep running payroll where you do now. Prodigy Suite reads the employee list your payroll system exports and never changes anything in it.
Which payroll systems does it work with?
Any system that can export its employee list as a CSV or Excel file, including Wagepoint, Payworks, Dayforce Powerpay, ADP, QuickBooks Online Payroll, Humi, Nethris, Employer D, Rise, Wave Payroll and Sage 50. You choose your system once and we remember how its columns match.
What happens when payroll shows someone has left?
They’re listed under Left with their last day and reason. When you apply the import, they become a former employee: they can no longer sign in, their records stay, and an offboarding checklist starts with final pay and the Record of Employment on it.
Do you store SINs or bank details?
No. Columns that look like social insurance numbers, birth dates or bank details are never read, whatever they’re called, and the file itself isn’t kept. We take names, contact details, jobs, locations, dates, pay and hours.
Will an import overwrite what I’ve entered?
Blank cells never erase anything, names are never changed, and an email someone already signs in with is never replaced. Everything else that’s different is shown before it’s saved, with a box to leave any person out.
Which plans include payroll import?
HR Essentials and Complete. The owner, admins and HR administrators can use it; location managers and supervisors can’t see pay.
